This document describes how the Sygmare service actually works and is written for transparency, not as legal advice. Sygmare is currently operated as an independent project and is not yet registered as a company, so no trade name, tax identification number or registered address is stated. Those details will be added here once the entity is registered, and the document will be reviewed by a qualified legal professional.
1. Who is responsible
Sygmare operates this website and service. 2. Data we collect
- Account data: name, email address, business name, password (in hashed form), plan and account settings.
- Business data you enter: the customer, sales, inventory, appointment and payment records you create inside Sygmare.
- Support data: the messages you send us through the contact form or by email.
- Technical data: basic log information such as IP address, browser type and timestamps, used for security and reliability.
- Billing data: subscription status and invoices. Card numbers are processed by our payment provider and are not stored by Sygmare.
3. Why we process it
- To create and operate your account and provide the subscribed features.
- To process subscription payments and send billing notices.
- To provide customer support.
- To keep the service secure and diagnose technical problems.
- To comply with legal obligations.
4. Your customers' data
When you store records about your own clients or patients in Sygmare, you decide what is collected and why. In that relationship you act as the data controller and Sygmare acts as a processor on your instructions, processing that data only to provide the service.
5. Sharing
We share data only with service providers strictly needed to run Sygmare, such as cloud hosting and the payment provider, and only to the extent required. We do not sell personal data and we do not use your business records for advertising. Today those providers are our managed cloud hosting and database platform; a payment provider will be added when paid subscriptions go live. A named subprocessor list will be published in this section as each provider is contracted.
6. Retention
Account and business data are retained while your subscription is active. After cancellation, data is retained for a limited period so you can reactivate or export, and is then deleted. Billing records are kept for the period required by applicable accounting rules. As a rule, data is kept for 30 days after cancellation and then deleted; you can request earlier deletion by writing to support@sygmare.com.
7. Security
We use encrypted connections (HTTPS), access controls and hashed passwords. We do not currently claim any formal security certification, and we will not state one until it has actually been obtained and independently verified. No online service can guarantee absolute security.
8. Your rights
Depending on where you live, you may have the right to access, correct, export or delete your personal data, and to object to or restrict certain processing. To exercise these rights, write to support@sygmare.com. We will respond within the period required by applicable law.
9. Cookies
We use only the cookies and local storage strictly necessary to keep you signed in and to remember basic preferences. If analytics or marketing cookies are added in the future, this section will be updated and consent will be requested where required.
10. International transfers
Data is stored on managed cloud infrastructure and may be processed in the regions where that provider operates, which can be outside your country. Where a transfer requires safeguards, we rely on the standard contractual clauses offered by the provider. The specific hosting regions can be confirmed on request.
